How to add a new Branch

1- Navigate to the toolbar menu and click on the gear icon (Settings). 2- Scroll down to find “Branches” and click on it. 3- Alternatively, you can search for “Branches” using the search box then click on it. 4- Click on “New” to begin adding a new branch. 5- Fill in the required Details 5.1- Name: Specify the branch name in both Arabic and English. 5.2- Seller / Company ID: Enter the Seller/Company ID for the branch. 5.3- Company Address: Fill in the branch’s address details. 5.4- Transaction Series: Specify the transaction series number the branch will use (refer to "how to create a transaction series"). 5.5- E-Invoice Fields: If E-invoice and receipts are activated, add the required data and credentials. 6- Click on “Save”

How to add a new employee

1- Navigate to the toolbar menu and click on the gear icon (Settings) 2- Scroll down to find “Employees” and click on it. 3- Alternatively, you can search for “Employees” using the search box then click on it. 4- Click on “New” to begin creating a new Employee. 5- Fill in the required Employee details in the popup as follows: 5.1- Name: Enter the employee's name in both Arabic and English. 5.2- Code: Assign a unique code for the employee (e.g., ‘E-001’). 5.3- Loan Account: Select the account that tracks any loans provided to the employee by the organization. You can choose the loan account (from the added accounts)—see how to add an account. 5.4- Custody account: Select the account that tracks items or assets assigned to the employee for their use or safekeeping. How to add a currency

1- Navigate to the toolbar menu and click on the gear icon (Settings) 2 - Scroll down to find “Currencies” and click on it 3 - Click on “New Currency” 4 - Fill in the required currency details as follows 4.1 - Currency Code: Choose the currency you want to add. 4.2 - Currency symbol 4.3 - Currency name English 4.4 - Currency name Arabic 5 - Now to add the exchange rate of the new currency to Egyptian pound, hover over the new currency and click on the three dots and select “view exchange rates” 6 - Click on “Add Exchange Rate” A Pop-up will appear as in the figure below, fill the date and the rate to Egyptian pound. 7 - Click on “Save

How to Add a New User

This window ensures that each document type, such as invoices, purchase orders, or receipts, is uniquely identifiable through a systematically generated sequence number. 1- Navigate to the toolbar menu and click on the gear icon (Settings). 2- Scroll down to find “Taxes” and click on it. 3- Click on “New” to begin creating a new Tax. 4- Fill in the required tax details. 4.1- Summary: Choose this option if the tax you're defining combines multiple taxes, such as VAT and WH Tax. 4.2- Not Summary: Choose this option if you're defining either a VAT or WH Tax individually. 4.3- Rate: Specify the tax rate for accurate calculations. 4.4- Tax Category: Choose the appropriate category for classification purposes. 4.5- Code: Enter the unique code for easy identification. 4.6- VAT Tax: Toggle this option if the tax being defined is a standard VAT type. 4.7- WH Tax: Toggle this option if the tax being defined is a Withholding tax. 4.8- SO/PO Type: Specify whether the tax applies to sales, purchases, or both. 4.9- Account: Select the designated account to hold this tax amount. 4.10- E-Invoice Tax Type: Enter the code corresponding to the tax type as defined in the E-Invoice portal. 4.11- E-Invoice Tax Subtype: Enter the code corresponding to the tax type as defined in the E-Invoice portal. 5- Click on “Save”

1- Navigate to the toolbar menu and click on the gear icon (Settings) 2- Scroll down to find “Item Categories” and click on it. 3- Click on “New” to begin creating a new item category. 4- Alternatively, you can create a new item category directly from the item creation form by clicking on “New Item Category.” 5- Fill in the required item details in the pop-up window that appears: - Name in [English / Arabic]: Enter the item category name in both languages. - Sales Account: Select the revenue account for recording sales (from the added accounts). - Sales Tax: Select applicable taxes for item category sales (from the added taxes). - Purchase Account: Select the account for recording purchase costs (from the added accounts). - Purchase Tax: Select applicable taxes for item category purchases (from the added taxes). - Inventory Account: Specify the account holding the inventory value (from the added inventory accounts). 6- Click on “Save” Note: All items belonging to the same category will inherit the Accounts and Taxes defined at the category level, unless overridden at an individual item level. - By following these steps, you can efficiently create a new item category with all necessary details

Click on an email type that you want to create an email template for (in this example we will add a new purchase order notification template). 4. Click on “+ New”. 5. Fill in the Required Template Details: Template Name: Enter a name for your notification template. Subject in Arabic: Provide the subject line for the notification in Arabic. Subject in English: Provide the subject line for the notification in English. Body in Arabic: Write the body of the notification in Arabic. Set the Status: · Active: Select this option if you want the template to be available for immediate use. · Draft: Choose this if you want to save the template as a draft for future editing. 6. How to Import Opening Balances

1- Navigate to the toolbar menu and click on the gear icon (Settings). 2- Find “Opening Balances” and click on it. 3- Click on “Import Opening Balance” to begin the import process. 4- Upload the Import File: File Format: Ensure your file is in the correct format (CSV, XLS, or XLSX) and does not exceed 5MB. Download a Sample File: If unsure of the file structure, download a sample XLS file and compare it to your import file to ensure it is properly formatted. Click on "Choose File" to select the file you wish to import. Duplicate Handling: - Skip: Retains the records already in PAYDAY and does not sync the identical records from the import file. - Overwrite: Overwrites existing records in PAYDAY with the identical records from the import file. 5- Click on “Next” to proceed. Map Fields: PAYDAY will attempt to auto-select the best match for each field from your import file. Review the mappings: - Account: Match to the account field. - Account Name in English: Ensure the English account name matches. - Account Name in Arabic: Ensure the Arabic account name matches. - Debit or Credit: Match to the appropriate debit or credit field. - Currency: Match to the currency field. - Amount: Match to the amount field. - Contact Name: Match to the contact name if applicable. 6- Click on “Next” after confirming all fields are correctly mapped. Preview and Import: 7- Click on “Import” to finalize the process.
